Phone Instructions

To reach a classroom or office from outside, the caller must dial one of the school’s outside general numbers. The automated answer message will allow the caller to directly dial any school extension at that time. They will be able to connect to any phone using the extension on the new Cisco phone.
Voicemail number 610-645-5139
General Phone Settings Setup – e.g. Greeting, Voicemail, Personal Settings, etc.
- Select the Messages button on the phone
- Enter 1845 as the pre-assigned temporary password (press # to confirm)
- Follow operator instructions (remember to select # to confirm)

The Cisco voice will instruct you to Record your name to identify you to other callers
- To record your name, in a pleasant voice, say your first and last name, or your professional name (such as ‘Mrs. Jones’ or ‘Sharon Jones’) after the tone b. When finished saying your name, IMMEDIATELY press the # key c. To keep the recorded name, press the # again

To Change Password
- Select the messages icon
- Enter 1845 as the pre-assigned temporary password (press # to confirm)
- Press 4 for Setup Options
- Press 3 for Personal Settings
- Press 1 to Change Password
- Enter new password (press #)
- Enter new password (press #)

Recording Your Greetings - Must be set up in the general phone settings. MUST set up the STANDARD Greeting

Press the Messages button on your phone.
- If dialing from another extension or an outside line, dial 6000 and then press the (*) star/asterisk key. Enter your PIN, then press #.
- You will hear your name, then a review of messages in voicemail.
- Press 4 for Setup Options.
- Press 1 to change the Standard Greeting. The system will say which Greeting is currently in use, and will play the message for you.
- Press 1 to re-record the message.

You can edit other greetings by pressing 3 after you listen to your current greeting and following the prompts:
- Standard – School Hours Greeting "You have reached “Mrs. Smith’s voicemail”, I am currently away from my desk, please leave a message......"
- Closed – Message to be set up for after school hours
- Alternate (Vacation / Out of the Office – Overrides Standard and Closed greetings (message can be used when you are on vacation)

Press the Messages button on your phone.

Checking Voice Mail from your own desk phone
- Select the Messages Button
- Enter Your Password
- Follow Operator Options – e.g. To hear new messages press 1
- To skip to next message without finishing current message enter # key
- To speed up a message playback hit 6 repeatedly... to slow down hit 4
- Hit the 8 key to pause & resume message playback
- To delete messages press 3
- To save for later press 2
- To reply to a voicemail from a cisco phone, press 4
- To forward a copy of the message press 5 – to switch from alpha directory to numeric enter # #

Checking Voicemail from Another Extension other than your own
- Select the Messages Button
- Select the asterisk * key
- You are prompted to enter your id # (which is your extension e.g. x4304)
- Select the pound # key to confirm
- After the prompt, enter your password, select the pound # key to confirm
- Follow Operator Options – e.g. To hear new messages press 1

Checking Voice Mail from Outside Line
- Dial Friends’ main phone #, enter your extension, wait until you hear the message
- Select the asterisk * key
- You are prompted to enter your id # (which is your school extension e.g. x4304)
- Select the pound # key to confirm
- You are prompted to enter your password, select the pound # key to confirm
- Follow Operator Options – e.g. To hear new messages press 1, etc

Call Forwarding – All Calls To Your Voicemail or another extension
- Select the CFwdAll or FwdAll softkey button
- Listen for 2 beeps
- Press messages button, or another extension number, then hear confirmation tone
- The phone will automatically hang up
- Confirm completion of forwarding by looking at animated icon in upper right corner next to your extension number
- To Remove Call Forwarding – hit CFwdAll or Fwd Off softkey button
- The phone will automatically hang up
- Note: You can’t forward or un-forward your phone from another location.

Call Transfer – To Another Extension
- While the call is active... Select the Transfer softkey
- Dial the extension # you want to transfer the call to
- You can hang up immediately, and the destination # will ring, and the call is transferred – if not answered, it will go to recipient’s voicemail –
- or wait for an answer, then
- You tell the recipient who is calling (they're on hold)
- Select the Transfer softkey again and hang up your phone – if you forget the 2nd press of the button the call will still be correctly transferred.
- The call is now connected.
- If the recipient does not want to speak to the caller, you must select EndCall (which ends Transfer sequence) You must then hit Resume (to resume the call), and handle the call.

Call Transfer – To Another Extension’s Voicemail
- While the call is active... Select the Transfer softkey or button
- Press the * key, then the extension to receive the call, then the Transfer softkey or button
- The call will then go to their voicemail

Conference Call – To Another Person or persons
- While the call is active... Select More then the Confrn softkey or button
- Dial the extension # you want to transfer the call to,
- Select the Confrn softkey or button again.... He is now conferenced in to the call
- Repeat to add another person (up to 16 total participants). Outside numbers like cell phones may be conferenced in, too!
- Anyone, even the originator, can hang up and the rest stay connected
- If you're not talking, use your local mute button to keep extra noise under control

Select the directories or call history
- Select the directories or call history button
- Select the number that is highlighted on the display screen by either selecting the number keypad or hitting the word select
- You now have the option to dial a missed call by scrolling through your calls with your arrow keys and then selecting the Dial button

Corporate or Personal Directory
- Select the directories or button
- Select either 6 on the number keypad or scroll with arrows until 6 is highlighted and then hit the Select button
- Search Fields shows by First Name, Last or by Number

To search by first name, select the number keypad that has the alpha letters of the person’s name.

- (For the letter H, the number 4 would be selected 2 times)

Placing a Call Directly into Users Voicemail – their phone won't ring
- Select the asterisk key and then the extension...
- Record the message - their extension won't ring

Voice Mail to All Users
- Select the Messages button
- Hit the asterisk key
- Enter your id (extension number)
- Select #
- Enter your password
- Select #
- Select option 2
- Enter 2557 (spell A L L U S E R S) You don't need to enter the whole thing
- Record your message

Placing an Outside Call with a 610 prefix (that is not considered long distance)
- Dial # 610 and the remaining 7 digits

Place a Call to an Outside Line (local cell phone # i.e. 484-256-7643)
- Dial # 1 plus the 10 digit number

Transferring Voice Mail Message from your voicemail to another user
- Listen to voice mail message
- Press 5 to Forward

By default the system wants you to spell the user you want to forward the message to
- Press ## to switch to extension numbers, if desired
- Enter the extension of the user you want to forward the message
- After forwarding you can save or delete your copy of the call

Making Long Distance Calls – Not available from classrooms
- Dial the long distance number (Dial “9” for an outside line, dial “1” and the number)
- If you are making a personal long distance call you may be required to make a record of it, or use a credit card or phone card.

Meet Me Conference – up to 16 FRIENDS’ Cisco phones can conference together

One person must act as the host –
- Contact your participants somehow, and notify them of the date & time & MeetMe conference number you'll be using. Currently 4551, 4552, 4553, or 4554
- To have the conference, Pick up handset, select more soft button, then MeetMe soft button, hear 2 beeps, then dial the MeetMe conference number you're using.
- A meet-me conference continues even if the conference controller hangs up.

Rebooting your phone (if an error message persists)
- Press the "directories" button (it looks like an open book).
- Press * * # * *
- The phone will reset in about a minute.
